Shopify return rules: a staff review checklist

Updated

Use when staff need to understand which supplied policy and exception cover each item before reviewing the actual order. A local rule trace is not a refund guarantee, legal opinion or replacement for Shopify's order record.

Preview synthetic items locally

The free Shopify return rule preview accepts settings and synthetic order JSON. It uploads nothing, makes no processing requests and saves no store data. Load the example, then replace it with synthetic facts matching the workflow you want to review.

Use the policy that existed when the order was placed

Shopify says return-rule changes apply only to future orders. A current policy snapshot is not enough for an older order. The preview asks for a snapshot effective date and flags orders that predate it. It cannot retrieve historical terms. [1]

Select the market policy, then the shortest item override

The current help page describes default and market-specific policies, with market-specific settings replacing the default for that market. This feature is limited early access, so confirm it is available for your store. Product, collection or variant return-window overrides replace the default window; when several match, Shopify uses the shortest. [1]

Trace the date basis without guessing a buffer

Return windows can start from an item's delivery or the delivery of the last item in the order. Where delivery is unavailable, Shopify describes fulfillment plus a transit buffer. Enter only a known buffer; the preview invents none. Exchanges or added items have their own groups and delivery facts. Weekend/holiday extensions and exact deadline-day requests require native calendar and cutoff review. [1]

Keep native final sale separate from staff tags

Shopify documents final-sale products or collections, not both, and says bundles cannot be set as final sale. Final sale takes precedence over window overrides. A staff tag such as a clearance label is not automatically a native final-sale setting. The preview marks tag matches and staff exceptions for review, rather than turning them into a Shopify eligibility decision. Statutory rights can still override store policy. [1]

Review fees, not a promised refund amount

Return shipping can be free, a flat fee once per return, or a customer-purchased label. Restocking is a percentage. Fees can be edited per return, including restocking per item. Shopify says return fees are not automatically deducted from refunds; staff must review deductions manually. The preview shows settings only, never a calculated refund or tax amount. [1]

Staff checklist

  1. Verify the original policy, exact market and any item-specific override.
  2. Separate fulfilled return items from unfulfilled cancellation/refund questions. Shopify does not display a return restocking fee for unfulfilled refunds.
  3. Review every final-sale match and staff exception, including conflicting notes.
  4. Check the actual return deadline, weekend/holiday extension and relevant rights in Shopify. POS return rules require POS Pro; turning off self-serve does not disable rules for manual admin returns. [1]
  5. Review fees, tax, condition, prior returns and refund handling with the native order. A within-window preview label does not approve a return.
