Review Mailchimp import permission
Updated
A contact CSV can contain an address without containing permission to send that person email marketing. It can also contain blank fields that erase existing audience data when an update is selected. Review structure, status intent and the underlying permission record as separate questions.
The free Mailchimp import permission preflight is a browser-local worksheet. It reads a CSV in page memory, maps fields, groups intended statuses and blocks proposed subscriptions with missing provenance fields. It never uploads contacts, saves lists, connects to Mailchimp or sends email. The synthetic example uses fictional contacts, not real permission records.
Choose status deliberately, not by CSV presence
Mailchimp's official import instructions describe selecting an email marketing status in the import interface: subscribed, unsubscribed or non-subscribed. Only one status can be imported at a time. The instructions also state that imports do not update the marketing status of contacts already in the account, and that updating existing contacts through this method applies to subscribed or non-subscribed contacts.
A worksheet Status intent column is planning data, not a command that Mailchimp reads to assign mixed statuses. If a list mixes subscribed, non-subscribed and unsubscribed intentions, review and separate the rows before choosing a status for any native import. Never select subscribed for an entire mixed list. Non-subscribed is not marketing permission; unsubscribed is not a resubscription opportunity.
Record provenance for each proposed subscription
- Identify how the person specifically gave permission to receive your email marketing. A purchase, a public email address or a row from another list does not establish that permission.
- Retain the underlying record with the relevant date, wording and scope. In the worksheet CSV, supply a specific Consent source, a real Consent date in YYYY-MM-DD format and a Consent record reference for each subscribed intent. A reference is enough here; do not paste a sensitive consent document.
- Inspect the actual evidence yourself. The worksheet checks only whether those fields are present in a bounded shape. It cannot authenticate a record, confirm the person's identity, test whether permission remains current or decide whether it covers your planned message.
- Check the authoritative native audience status and suppression controls. An unknown existing status in the worksheet is not proof that the contact is new. Do not use imports to bypass unsubscribe, cleaned-address or pending-confirmation controls.
The tool labels complete records as MANUAL REVIEW, not approved. It screens a few obvious placeholders, but arbitrary plausible text can still satisfy a presence check. Mailchimp requires permission for subscribed imports; this worksheet neither grants it nor guarantees legal compliance or platform acceptance.
Review blanks before selecting an update
The official import instructions warn that blank fields overwrite and erase existing email contact data. Before selecting “Update any existing contacts,” review every mapped optional field. Remove a mapping or column that you do not intend to update rather than assuming a blank means “leave unchanged.” The worksheet flags blank or whitespace-only mapped First Name, Last Name, Phone Number and Company cells. It does not know which stored values would be affected and does not cover every Mailchimp field type.
A bounded local checklist
- Use a UTF-8 comma-separated CSV. Review the suggested Email Address mapping and any optional mappings; duplicate headers and malformed quoting are rejected.
- Resolve uneven row widths, unsupported email shapes and repeated addresses. The checker never verifies mailbox existence, merges duplicate people or picks between conflicting status intents.
- Run smaller review batches if needed. Counts include all accepted rows, while detail display is limited to the first 200 rows. The local limits are safety guards, not Mailchimp import limits.
- Review the platform's current native import steps, account controls and resulting import report. A green browser status only means this worksheet finished processing.
- Use Clear when done. Contacts and results are not persisted by the tool; your source file remains on your device. Browser extensions or a compromised device are outside this page's control.
